The Schedule tab includes the settings needed to schedule the emailed report, which includes: the Time Zone, First Run Date, Email Frequency, and Schedule.
• Time Zone- Select the time zone so the emailed report will arrive at the recipients correct local time. The list shows all North American time zones first.
• First Run Date- This is when the schedule will become effective for the emailed report, not necessarily when the report is emailed. The First Run Date and Email Frequency work together. Set the date when the schedule will become effective, the date should be at least one day in the future and then set the Email Frequency. If the recipients need to receive the report sooner, use the “Run Now” Button. Note: Once your First Run Date has been set and the schedule has been saved, the First Run Date field will be locked. If you need to make a change simply add a new Email Schedule.
Example of how the First Run Date and Email Frequency work together:
You want the report emailed on the 5th of every month. Today is May 10th. How do I set the First Run Date and the Email Frequency?
Set the First Run Date to June 5th because May 5th has already occurred, set the Email Frequency to Monthly.
• Email Frequency- Set the frequency for when the report will be emailed. The available settings are: daily, weekly, bi-weekly, and monthly.
• Schedule- After setting the Email Frequency set the time for the report to be emailed. the frequency for when the report will be emailed. The Monthly selection will also have a "End of Month" option since not all months have the same amount of days.
• Daily- Selecting Daily will display a schedule to select a Start time and check boxes for the days of the week. The report will be emailed every day for the selected days at the same time. You can add multiple times by clicking the + icon under Schedule and remove a time by clicking the – icon.
• Weekly- Selecting Weekly will display only the option for start time and will use the date selected in First Run Date to email the report on that day every week. For example if you select a Friday at least 1 day in the future, every Friday the report will be emailed. Note: Only 1 weekly report email can be set up per Email Schedule, if you need additional weekly report emails simply set up a new Email Schedule with the desired day of the week selected.
• Bi-Weekly- Selecting Bi-Weekly will display the option for start time and will use the date selected in First Run Date to email the report on that day every other week. For example if you select a Friday at least 1 day in the future, every other Friday the report will be emailed. Note: Only 1 bi-weekly report email can be set up per Email Schedule, if you need additional bi-weekly report emails simply set up a new Email Schedule with the desired day of the week selected.
• Monthly- Selecting Monthly will display the option for start time and a check box for the End of Month. The monthly setting will use the date selected in First Run Date to email the report once per month. The Monthly selection has a "End of Month" option since not all months have the same amount of days.
